  1. The HKUA Charity Run is open for public registration at 12 noon on 11th March, 2019.
  2. Upon successful registration a confirmation email will be sent to the registered email address. If you do not receive this email in your inbox, please check your spam or junk mail, and if it still does not seem to have been received please contact us at 5267 6433.
  3. Once an entry is accepted, the entry fee is non-refundable, even upon disqualification. All materials submitted, including for multiple enrolment, are non-transferable and may not be cancelled.
  4. On-site registration will not be accepted.
  5. The Organiser reserves the right to limit or reject entries or to disqualify any participant known or suspected of being unfit to participate in the event (e.g. inaccurate information provided, failure to pay entry fees, application procedures not correctly followed; or should the participant be suffering from a chronic disease, be pregnant or in any other situation where there participation would constitute a safety risk).
  6. The Organiser reserves the right to contact participants for information regarding their enrolment.
  7. The Organiser reserves the right of final decision for the event. Any changes or contingent measures for the event announced by the Organiser and posted on the event webpage shall prevail. The Organiser reserves the right to cancel and approved participants if a participant commits any conduct which arouses public concern or is otherwise deemed inappropriate by the Organizer.
  8. The Organiser reserves the right to interpret the above rules, and to temporarily change or cancel of any or all activities subject to notification.
  9. Participants are advised to solicit medical advice from doctors prior to registering for and taking part in the event. Runners should have adequate training before the run to ensure that they are physically fit to participate in and complete the run category they have entered.
  10. By submitting their application and subsequently taking part in the run, Participants: a. Warrants and confirms to the Organiser that they are physically fit to take part in and complete the run; and b. Agrees to indemnify the Organiser and hold the Organiser indemnified and harmless for i) any injury or death suffered by the Participants themselves or any other persons; and ii) any property damage as a result of them not being physically fit to take part in and complete the run.
  11. Participants of Elite Run and Fun Run (Individual group) must be aged 16 or above (as of the event day).
  12. Participants aged below 18 (as of the event day) are required to obtain parental or guardian consent in the “Parent/Guardian Declaration” during online registration before participating in the event.

To collect the runner's pack, please provide your category, mobile number and registration number for identity verification. You may appoint a representative to collect on your behalf by presenting the “Runner Pack Pick-up Notification” email, no separate authorisation required.

Please note that all runner packs have to be collected within the specific date and time prior to the event.

Baggage Storage

A free baggage-storage service will be provided on the day. Participants can deposit their personal belongings in the designated area 30 minutes before the race starts, and retrieve them before 1 p.m. on the event day. Participants are advised to arrive with sufficient time to deposit their bags so as to avoid delays, and limit what they bring with them on the day.

Participants are advised not to leave in storage nor have on their person during the race any valuables. The Organiser shall not be liable for any loss.

Terms & Conditions

GENERAL RULES

1.1 Participants must study the event rules and regulations carefully. Upon submission of your application of entry, a participant is deemed to have accepted all Terms and Conditions of the Event, the Official Rules as stipulated and also to those that may be later introduced by the Organisers/Event Producer.

1.2 Participants understand and agree that participation in the Event is voluntary and at their own risk. Participants acknowledge that the Event is dangerous that in engaging in the event are at risk of serious bodily injury, including permanent disability and death. Each participant accepts responsibility for his/her condition and conduct in connection with the Event. Each participant assumes any and all risks associated with participating in the Event, including but not limited to falls, dangers or collisions with other participants, dangers arising from surface hazards or falling objects due to natural and weather condition. 

1.2.1 Each participant understands and acknowledges the dangers associated with the consumption of alcohol and/or drugs before, during and after the Event and he/she recognises that consumption might impair his/her judgment and ability to safely take part in the Event. Each participant assumes responsibility for any injury, loss or damage associated with his/her consumption of alcohol and/or drugs. 

1.2.2 Each participant agrees to absolve, waive release and forever discharge the Organisers, Event Producer, Event promoters, Event officials, Event staff, advertisers, volunteers, administrators, contractors, vendors, any sponsor, supporting organisations and/or all other persons or entities involved with the Event, and each of their respective parent, subsidiary, affiliated companies, licensees, officers, directors, partners, board members, shareholders, members, insurers, agents, employees, volunteers and other participants and representatives (the “Released Parties”) from any and all claims or liabilities of any kind, demands, damages, losses, and causes of action, of any kind or any nature which the participant has or may have in the future, including court costs, lawyers’ fees and litigation expenses (the “Claims”) arising from bodily injuries, accidents, death, partial or permanent disability, negligence, property damage and damages of any kind or other losses such as resulting from the provision of first aid, medical care, medical treatment, medical decisions (at the Event venue or elsewhere) during or caused by travelling to and from the Event venue, during the Event or whatsoever reason (negligent acts, omissions or carelessness included).

1.2.3 Each participant agrees not to sue any of the Released Parties for any of the Claims that he/she has absolved, waived, released or discharged herein.

1.3 Each participant agrees that it is his/her responsibility to determine whether he/she is sufficiently physically fit and healthy to safely participate in the Event. Each participant attests and certifies that he/she is or will be sufficiently physically fit and healthy to participate in the Event. Each participant further certifies that he/she has not been advised against participant in the Event by any healthcare provider. Each participant confirms he/she has no physical or medical condition that would endanger himself/herself or others if he/she participates in the Event, or would interfere with his/her ability to safely participate in the Event.

1.3.1 The Organisers/Event Producer reserves the right to disallow/disqualify any person who is known or suspected by the Organisers/Event Producer to be physically unfit or unsafe to participate in the Event, and such person shall accept such decision of the Organizers/Event Producer accordingly. The participant concerned expressly waives any claim for damages arising from the aforesaid denial or disqualification regarding to any fee paid.

1.3.2 Each participant hereby consents to receive medical care and treatment that may be deemed advisable in the event of injury, accident or illness to him/her while participating in the Event by a medical director or any of its agents, employees, volunteers, affiliates and designees, a physician and/or hospital. If necessary, the participant authorises the Event Producer or any of its agents, employees, volunteers, affiliates and designees, any organiser or sponsor of the Event, or any Event volunteer, to consent to such medical care and treatment. Each participant understands that this authorisation is given in advance of any specific diagnosis, treatment, or hospital care being required, and is given to provide authority and power to render care which the above-mentioned may deem advisable in the exercise of their best judgment. Each participant agrees to be responsible and assume liability for any and all costs incurred as a result of his/her participation in the Event, not covered by his/her insurance, including but not limited to, medical care and treatment, ambulance services, hospital stays, and physician and pharmaceutical goods and services. Each participant agrees to indemnify and hold harmless the Released Parties from all liability for such costs. 

1.4 All information provided by a participant in the registration form must be true and accurate.

1.5 All entries must be submitted no later than the registration deadline. Entry is available on a first-come, first-served basis. 

1.6 The Organisers/Event Producer reserve the right to close the registration at any time, whether before or after the registration deadline specified, without prior notification.

1.7 All participants should register according to the age requirement of each category respectively (if applicable). Those that do not will be disqualified and may be requested on the day to leave the race and/or event venue.

1.8 No pets or any form of wheel-run objects of transport, including but not limited to bicycles, skates, push carts, shoes with built-in rollers are allowed, except those with prior authorisation from the Organisers/Event Producer.

1.9 Participants shall indemnify and/or reimburse the Organisers/Event Producer in respect to any additional expenses or costs incurred by the Organisers/Event Producer arising from or in connection with any fault or action or behaviour of such Participants during their participation in the Event.

1.10 Participants must retire and leave the race/event venue immediately if requested by any race official, medical staff, race director or security staff.

1.11 Race Winners will be required to present identification, including HK identity card, passport or Registration Card for People with Disabilities, for verification.

1.12 Public liability insurance is covered by the Organisers. This does not include personal accident insurance. It is recommended that all participants purchase personal accident insurance and other relevant insurance according to individual need. 

1.13 The Organisers/Event Producer reserve the right to amend the programme of the rules and regulations. In cases of dispute, the Organisers/Event Producer reserves the right of final decision. 

RACE RULES & REGULATIONS

2.1 Runners who were born on or before 26 May 1944, are advised to consult a medical doctor before participation. The Organisers may require a runner to submit a medical certificate to affirm that they are in sound health to take part in the race or be present at the Event venue on the day.

2.2 The Organisers/Event Producer reserve the right to divide participants into race groups according to their race categories. Groups will start at different times to avoid congestion. 

2.3 Participants should place their race bib on the top and front of their upper clothing, so as to be highly visible.

2.4 Participants shall pay the Organisers/Event Producer an administrative fee of HK$100 for the re-issuing of a new race bib under any circumstance.

2.5 Participants should enter the Waiting Zone on time, or otherwise be disqualified from the race competition. 

2.6 Participants must not harass or impede other participants from their actions as might reasonably be expected in the Event. Offenders will be disqualified and requested to leave the event venue.

2.7 Any form of cheating is not allowed. Offenders will be disqualified.

2.8 All members of a Fun Run Family Group must complete the course in the allocated time to qualify as having completed the race.

2.9 Official Times will be used for determining prizes and race positions. 

2.10 Should there be a dispute concerning allocation of prizes and race positions, the Organisers/Event Producer reserve the right of final decision. 

2.11 E-certificate of Achievement will be issued to all qualified runners with an Official Time in all races and categories. Participants who do not start the race according to the designated start time and assigned registered race category and participants who do not complete the race, shall not be entitled to any awards and certificates. 

2.12 If first aid assistance is needed, please inform event staff.

BAD WEATHER ARRANGEMENTS

3.1 If a Typhoon Signal No.8 or above is hoisted at any time from 12:00 noon on the day before the event, the event will be cancelled. Entry fees will not be refunded.

3.2 If a Black Rainstorm Signal is hoisted at any time from 00:00 am on the event day, the event will be cancelled. Entry fees will not be refunded.

3.3 Should the above Inclement Weather/Condition Warnings be raised after the commencement of the Event, the Event Director has the right to change the course distance, make other arrangements, or to stop the event. If the event is stopped, the event will be considered cancelled and entry fees will not be refunded.

USE OF PERSONAL DATA

4.1 The Organisers/Event Producer and their agents shall have the absolute discretion to use any photograph, video or any other recording of the Event for any lawful purposes including advertising and promotion. These will include:

(a) Announcement of results;
(b) Processing administrative work related to registration, including but not limited to endorsement, receipt issuance, payment notice issuance, donation record and relevant event notices, etc.;
(c) Identifying a user or participant;
(d) Recording any communication with participants;
(e) Preventing and detecting any activities that make use of the Event website for fraudulent or exploitative behaviour, or activities that allow third parties to provide technical support and backup work in the interests of this website;
(f) In an anonymous basis, conducting statistical research on the website in relation to the visitor’s habits and the number of visitors, their interests and browsing behaviour, in order to better understand visitors’ viewing and usage habits to improve service levels.
(g) Any other legitimate purposes as may be required, authorised or permitted by law.

4.2 The personal data provided by participants may be disclosed to other organisations for the purposes mentioned above. 

4.3 Personally identifiable data, including email addresses and telephone numbers, will never be leased, exchanged or sold to any other party.

 

EVENT CANCELLATION & REFUND POLICY

5.1 The Organiser/Event Producer reserves the right to cancel or cut short the Event, without compensation or refund, for the following reasons:

(a) Adverse weather conditions;
(b) Landslides, rock falls or hill fires along the course;
(c) Protests or blockage along the course;
(d) Force majeure i.e. due to occurrence of incidents that are beyond the control of the organisers which renders it impossible, unsafe or impractical to hold the event.

5.2 There will be no refund following completion of registration. A registration fee paid for duplicated entries will not be refunded, nor may places be transferred to another applicant or for another race. If a participant allows another party to attend on his or her behalf, both participant and the runner who run on behalf of the participant will be disqualified and might not allowed to participate in future events.

5.3 The Organisers/Event Producer reserves the right to disqualify any person and / or nullify his or her result due to any violation the Official Rules of the Event. No refund will be accommodated in the case of disqualifications.

5.4 The Organisers/Event Producer reserves the right of final decision of the Event. Any changes or contingent measures for the Event announced by the Organisers/Event Producer and posted on the Event website shall prevail.

The venue is about 3 minutes' walk from Sunny Bay Outdoor Car Park, where there are around 1,000 parking spaces. As this is a public car park with limited parking spaces and no prior reservation available, it is strongly advised to take public transportation.

Use of Donations 

Through this event, a fix amount of HK$20-50 and the surplus after deduction of expenses will be donated to St. James' Settlement to support "The Philanthropic Community Pharmacy". The pharmacy provides subsidises to cover the cost of anti-cancer drug for patients with urological cancers (prostate cancer, kidney cancer, bladder cancer), helping relieve the financial burden of treatment on some of our most disadvantaged patients.
